Digital DBS ID Checks & Digital Right To Work (RTW) checks:

1. What is a Digital ID check?

A Digital ID check is a fully digital ID check. It allows an employer to remotely check an applicant's ID for DBS or Right to Work purposes.

Digital ID checks remove the need to see the person's ID documents. Individuals can provide the same information digitally instead of showing you physical ID documents.

We have partnered with TrustID, a certified IDSP to provide Digital ID checks for Basic, Standard & Enhanced DBS applications and also for Right to Work purposes.

4.  How long do the results take and how do I get them?

Results often take minutes.  It takes a few minutes to request a check and few minutes for an applicant to complete it.

You’ll receive an automatic email notification as soon as a digital IDcheck is complete and you’ll be able to check the status of the ID check and download the pdf Digital ID check report when you login to your onlineaccount.

5. Is Mayflower Disclosure Services a certified Identity Service

Provider (IDSP)

No.  For Digital ID checking, it is compulsory to use a certified digital IDSP (Identity Service Provider).

We have partnered with TrustID, a certified IDSP to provide you with a Digital ID checking service that is seamlessly integrated with our online application software. 

TrustID are an industry-leading identity validation business, founded in 2013.  They are ISO27001 accredited and their Digital ID services meet the GPG45 Standards for Medium and High level Confidence, as required by the UK Government. 

6. What is the Digital ID check Process?

6a:How to start a DBS Digital ID check (plus optional combined Right to Work check, if required):

Our DBS Digital ID checks are seamlessly integrated with our online DBS software. 

There are 2 x ways you can initiate a DBS Digital ID check:

1.  Send your applicant an email invite from your Application Manager Dashboard :

You can opt to add a Digital ID check to a DBS application invite so the applicant receives a link to create their DBS application and complete their Digital ID check at the same time:

2. Applicant creates their online DBS application:

Either via an invite that didn't include a Digital ID check or through the "Applicant Login" page.

You can initiate a Digital ID check invite when the application is at the "ID check" stage.


6. Applicant is sent a Digital ID check invite email from [email protected]

7. Applicant follows instructions provided and downloads the TrustID App - See Demo here: https://youtu.be/nbVNChfr4Pc

8. Applicant captures a “selfie” for biometric face checks, and scans the microchip on their Passport

9. TrustID returns the Digital ID report in pdf format including confirmation of the result: Pass or Fail

10. TrustID populates the ID section of the DBS application form.

11. Employer is notified of the Digital ID result by email

12. Employer downloads the pdf Trust ID report for their records (recommended)

13. Employer submits the onlineDBS application for processing

7. What are the outcomes of a Digital ID check?

There are 3 x possible outcomes

Further Detail about the different outcomes:

1. PASS (FULL):

The Digital ID check result is a PASS - the applicant's ID has been verified.  The ID section on theDBS application is auto-populated. 

  • Login to your Application Manager Dashboard
  • Open the online DBS application form.
  • Click on the "Check ID" hyperlink at the top of the screen to open the ID section.
  • *Click on Section Y "incomplete" hyperlink, fill in Section Y and click "Save" *only Standard and Enhanced DBS applications
  • Click the "Approve" or "Pay Now" button, whichver is displayed - this submits the DBS application for processing and transfers it to "Countersignatory" (to Mayflower).
  • Click on the "Documents" tab and then the pdf link to download and save the pdf Digital ID report. Note:  this is important because the pdf report is removed from our system after 6 months.
  • The DBS application will now be processed -Move on to your next application or exit the system.

2. FAILED ADDRESS CHECK (PARTIAL PASS) - ID verified but Current Address failed:

ID check partially complete.  TrustID were able to verify the applicant's ID but they couldn't verify the applicant's current address.  The Digital ID check can still be used, but you need to verify the applicant's current address manually:  

Failed Address Check Instructions: 

  • Ask the applicant to show you a document from the List of Acceptable ID which proves their current address.
  • Login to your Application Manager Dashboard
  • Open the applicant's online DBS application form.
  • Click on the "Check ID" hyperlink at the top of the screen to open the ID checksection.
  • Click on the "document 2" dropdown list and select the document provided as proof of address 
  • Click on "current address checked" dropdown list and select "yes"
  • Click "Save" on the bottom right-hand side of the screen.
  • *Click on Section Y "incomplete" hyperlink, fill in Section Y and click "Save" *only Standard and Enhanced DBS applications
  • Click the "Approve" or "Pay Now" button, whichver is displayed - this submits the DBS application for processing and transfers it to "Countersignatory" (to Mayflower).
  • Click on the "Documents" tab and then the pdf link to download and save the pdf Digital ID report. Note:  this is important because the pdf report is removed from our system after 6 months.
  • The DBS application will now be processed - Move on to your next application or exit the system.

3. FAIL - ID not verified and Address not verified:

Employer can still submit the DBS application, but must physically check the applicants' ID against the list of acceptable ID documents.


To update the ID section of the online DBS application form, you need to reset it.

Fail Instructions: 

  • Ask the applicant to provide the stipulated ID documents so you can verify their ID manually. Click here to view the List of Acceptable ID documents.
  • Login to the Application Manager section of your DBS account
  • Open the applicant's online DBS application form.
  • Click on the "Check ID" hyperlink at the top of the screen to open the ID section.
  • Download the Digital ID report by clicking on the link to find out why it failed, and save it for your records.
  • Click the "RESET ID" button at the bottom of the screen.
  • Choose Manual ID check from the 3 x options.
  • Complete the ID check manually to proceed and follow the on-screen instructions.

9. How is the applicant’s address checked?

TrustID uses Equifax to match the name and address. 

Equifax has the most up to date UK address list for the market.

The applicant inputs their post code and select their address from a drop-down list (populated by Royal Mail).

Their name and address are checked against the following sources:

Sources:

  • Open credit accounts
    • Bank and Building Society
    • Financial accounts
    • Retail e.g., store cards
    • Mail order
    • Communications and utilities
    • Rental and leasing
  • Electoral roll: Full Electoral Roll with monthly updates to check the Electoral Roll status.
  • Phone directory
  • CCJ or insolvency records

For address verification to “Pass”, the name and address of the person must match on two or more of the above sources.

A deceased check is also performed, to see if there are any records of the person being deceased. This is gathered from various sources including government records, insurance data, probate services, registry offices and the deceased preference service. If a person appears on these lists an alert will appear on the pdf report.

Note: The address verification is for UK addresses only, including the Isle of Man, Jersey and Guernsey.

10. Can we do a Digital Right to Work (RTW) check and a Digital DBS ID check at

the same time?

Yes, you can request a combined digital RTW check and a digital DBS ID check at the same time, saving 38% off the price of both checks if carried out at different times.  

11. What ID documents does an applicant need for a Digital ID check?

It is dependant on the applicant's Nationality and the type of Digital ID check.

What is a Biometric Passport or Biometric ID Card?


Also known as an ePassport or eVisa, a Biometric Passport or Biometric Visa is a traditional paper passport/visa with an embedded microchip that holds your personal information, as well as your photograph. They were introduced because of the increasing threat of identity theft and terrorism, encouraging many countries to improve the security of their borders.

What if an applicant doesn't have ID documents listed in the above table?

If an applicant doesn’t have ID documents listed above a digital ID check cannot be carried out, but you can still verify their ID using the original face to face method, as this allows a wider selection of ID documents.

12. Do employers still need to verify original IDdocuments?

No, if your applicant has the ID required for a Digital ID check (see number 11 above) and passes the check, as an employer, you will not need to see or verify their original ID documents.

13. Can I continue to use the original face-to-face ID verification process?

Yes, Digital ID checks are an alternative to the original method of manually checking ID documents during a face-to-face meeting with the applicant. Digital ID checking is being offered as an option. If you wish to continue using the manual face-to-face ID checking method, you can.

14. Can I do Digital DBS ID checks myself, using my own IDSP?

Yes, this will be available as an option when you complete the ID check section in your DBS account.   You must ensure you use a certified IDSP, and the Digital ID check complies with the Government's DBS Digital ID requirements

Note: A digital RTW check cannot be used for DBS ID verification because it doesn't meet the required "confidence" level as stipulated by the Government, needed for DBS ID verification.

15. How long is a DBS Digital ID check Valid For?  Can a DBS Digital ID check be

Re-used?

The DBS Digital ID check can only be used for each specific DBS application, it cannot be re-used.

16. Can we use a Digital DBS ID check for Right To Work (RTW)?

No, a DBS Digital ID check cannot be used for RTW checking.  You will need to request a separate RTW Digital ID check. 

You can do this through your online account at a different time, or you can request it at the same time as a DBS Digital ID check and save 38% on the total price.

17. How to re-send the Digital ID check Invite?

Enter the ID section by clicking on the "Check ID" hyperlink, click the "RE-SET ID" button, and initiate a Digital ID check again.  The current Digital ID link will be cancelled and the applicant will receive a new invite and a new Digital ID link.

18. How to Cancel a Digital ID check invite?

Enter the ID section by clicking on the "Check ID" hyperlink, click the "RE-SET ID" button.  The current Digital ID link will be cancelled.  You can then complete the ID check using other means or withdraw the DBS application from your account.
